Give every opening a stable identifier

Start with an opening reference that matches the drawings and the site label. Record building, level, room or corridor, door number and the source drawing revision. Keep photographs and observations tied to that identifier. Without stable references, a survey note, hardware order and estimate can accidentally describe different openings.

Record the measured opening and visible door and frame information without guessing an undocumented rating. Include the existing leaf, frame, glazing, seals, hinges, latch and closer as separate observations. Mark missing evidence for follow-up instead of filling a blank with a rating copied from a nearby door.

Build the schedule around evidence

Useful columns include opening ID, location, drawing reference, required assembly information from the responsible designer, observed product or label evidence, dimensions, hardware, condition, proposed action, evidence reference and review status. Separate “observed” from “required” so an existing feature does not silently become the specification.

A sample schedule row could say: D-012, first-floor corridor, drawing A-104 revision C, required assembly information awaiting designer confirmation, closer repair requested, photograph reference D012-03, specialist review pending. The row intentionally leaves unverified performance unresolved. It is a record example, not a compliant assembly specification.

Separate a closer estimate from a door assembly review

A closer replacement line should identify the opening, proposed product subject to verification, access and adjustment or testing scope agreed with the specialist. A full replacement requires a much broader specification. Leaf, frame, glazing and hardware compatibility cannot be inferred from the price of a single component.
